Import data

The import data function allows you to import data into a range of areas that are listed below:

• Contacts

• • Companies

  • Contacts

• Projects

• • Projects

  • Project Team

  • Project Contacts

  Historical data must be uploaded using the pre-formatted Excel spreadsheets available for download from the Import Data page.

   

  Data is imported via Admin > Data > Import Data.

  Upload Process

  1. Go to Admin > Data > Import Data.

  2. Choose the type of data that you would like to import:

     • • Sales Invoices

     • Admin

     • • Users

       • User Cost Rates

       • User Charge Rates

   

  3. Click the Download File Format link near the top of the page. You will be presented with a ‘File Download’ box – click Save and choose a memorable location to save the file on to your computer.

  4. Once the file is downloaded, click Open and it should open in Microsoft Excel.

  5. Select all the cells and right click on the top left hand corner cell.

  6. Select Format Cells and in the Category section, highlight the Text option.

  7. Select OK to return to the CSV file.

  8. Enter your historical data into the appropriate rows. Column headers specify what data can be entered. (see links above in step 2 for import format details).

  9. Once you have completed entering your data into Excel, save the file as a .CSV on your computer/network and return to the Import Data page.

  10. Click the button labelled Browse… and navigate to where you saved the .CSV file to.

  11. Select the .CSV file and click Open.

  12. Click Upload File.

  13. You will be shown a screen detailing any problems that have occurred.  These problems will usually be due to the data in Excel not matching the data in your system (i.e. mistyped username).

  14. When you are happy with the data to be imported, click Save.

  15. Data is now be included in all appropriate reports.

   

  Note: Import files can not be larger than 4mb. If you have a large amount of historical data to upload you should split your upload data into multiple .CSV files.
