Project > Summary

 

The Projects > Summary page allows users to enter the key features required for a project.

 

This includes:

 

Fields that cannot be left blank are marked with an asterisk.

 

The functional impact of each field is stated below.

 

Fields that do not have a functional impact are purely used as report filters.


The details of who created the project and the last person to modify the project as displayed at the bottom of each project page



Project Details

  1. Client
    The client that the project is for.

  2. Project Code
    Manual Code - A unique code to identify the project input by the user
    Auto-Generate Code - This will automatically generate a code when you select the required format.  Formats can be created in Admin > Company Settings > Project Code Generation
    When creating a new project the last used Project Code will be shown to the right of this field.

  3. Project Name
    The project name.

  4. Project Type
    Select one option from a list that is defined in Admin > Project Settings > Project Types.

  5. Project Owner
    The user with overall responsibility for the project, often a Director.

  6. Project Manager
    The user responsible for managing the project day to day.

  7. Department
    The department running the project.

  8. Win Probability
    If the project is in a bid status, this field denotes how likely a project is to go ahead.
    The field is 100% and read only in the project is Won.
    The percentage is used in certain reports to weight forecasted values.

  9. Status
    Indicates whether a project is Won, Bid or Lost.
    Multiple types of each status can be setup in Admin > Project Settings > Project Statuses (e.g. Competition (Bid) and Tender (Bid)).

  10. Win Date
    The date the project was changed from a bid project to a won project.
    This should be entered when the project status is changed to won.

  11. Start Date
    The date from which resourcing is required on the project.
    You cannot resource users to work on this project before this date.

  12. End Date
    This field is read only.
    It displays the latest finish date of tasks in this project (set via appropriate page).

  13. Security Profile
    Use to restrict access to this project to only those users with the chosen Security Profile (see Admin > Project Settings > Security Profiles)

  14. Any user can assign time or expenses to this project
    Selecting this checkbox will enable all users to log time and expenses to this project, even if they are not assigned to the Project Team.
    If this option is de-selected, only those users selected in the project team will be able to log time and expenses to this project.

  15. Users must log time and expenses to a task
    Selecting this option forces users to select a task as well as the project when logging time and expenses.
    If this option is deselected, users can leave the task as ‘not set’ in their timesheets and expense forms.

  16. Users must choose work detail for all time logged
    Selecting this option forces users allocating time to the project/task to add a Work Detail option set in Admin > Company Settings > Work Detail.
    If this option is deselected, users will not have to add work detail to each time entry.

  17. Users must choose work detail when logging extra time
    Selecting this option forces users to assign a work detail to all extra time they log on their timesheet


  1. Email Project Manager when extra time is submitted

          When this option is selected if a timesheet is submitted with extra time logged an email is sent to the project manager


  1. Notes
    Free text box for entering any additional information.

Project Team

  1. Project Team
    Select users using the checkbox on the left of their name to add them to the available pool of resources for this project.
    These users are then available to be resourced onto each task within this project.
    You may wish to add Generic users to the project team and use these for your initial resource plans.
    This allows you to forecast costs without allocating exactly who will be needed to complete the work.
    You can later replace the generic users with actual staff from the project team.

Project Contacts

  1. Project Contacts
    Select third party contacts associated with this project using the checkbox on the left of their name.
    To specify their role on this project:

 

Note: A role cannot be selected until the checkbox is selected for that contact.

Client Purchase Order Number

This optional feature allows you to record client purchase order numbers against your project.

 

These can be subsequently allocated against invoices produced and the purchase order numbers displayed in your invoice template.

 

Please contact the customer support team if you require this feature to be switched on.

 

  1. Enter the client PO Number.

  2. Enter the client PO Amount.

  3. If appropriate, select the Task this PO number relates to.

  4. Click the Notes icon to enter any required notes.

  5. Click Save.

Deleting a project

Deleting a project will only 'soft delete' the record and move it Admin > Data > Undelete Data where it can be restored* if necessary.


Projects can only be permanently deleted by the support desk. Please contact support on 0844 815 5711 if you require further assistance.

 
*To recover the deleted project, the project code must not have been reused by another active project.
