Rate Cards

 

Rate Cards are created via Admin > Users > Rate Cards.  They allow you to apply pre-defined user charge out rates which can then be applied to projects via the Project > Rates screen. Rate Cards are designed for use when you will have regular user charge out rate settings for use in projects which differ from the user standard charge out rate.

Creating a rate card

  1. Click New Rate Card.

  2. Type a meaningful Rate Card Name i.e. 'Standard rate plus 10%'.

  3. Enter a percentage value into the Charge out rate markup if you wish to automatically uplift all user charge rates by a set percentage.

  4. Ticking the Use rate markup for new exceptions check box will automatically populate the Markup % column when you add a new exception into the Exceptions table.

Specifying an exception

  1. If you would like to change a user's standard charge out rate i.e. make it higher or lower you can add them as an exception.  To do so:

  2. Select their name from the Exceptions drop-down.

  3. Enter their new charge out rate into the New Rate/hr box. Charge rates can be entered to 2, 3 or 4 decimal places. Additional decimal place rates may be required for precise billing calculations when totaling hourly time charge invoice items in order to calculate daily rates.

  4. Click the green Add icon.

Note: If you ticked the Use rate markup for new exceptions check box the Markup % column will be populated with the Charge out rate markup percentage.  These can be adjusted on a user by user basis by updating the value in the relevant box if required.

Allocating a rate card to a project

Rate Cards are assigned to a project via Projects > Select a project > Rates.

  1. Select the appropriate Time Rate Set.

  2. Select Rate Card in the Detail section and choose the required card from the drop down list.

  3. Ensure all other Rate Set options are configured correctly and then Click Save.

 

Note: The Rate Card must be applied to your project prior to running billing, or they will be generated based on user's standard rates.  If you run billing without first making the appropriate selections you can simply delete all the invoice items listed on the Invoice Items screen, allocate your Rate Card and update your rules as necessary, then re-run billing.
