Documents

 

This page allows you to search for and manage all accessible documents in your system.


Access to Documents is maintained via Admin > System Settings > Security Groups.


Permission settings relating to project documents is maintained via Admin > Project Settings > Security Profiles.

Search for a Document

  1. Click on the Documents tab in the main menu.

  2. Enter your search criteria into the box. The following document details can be searched for: Document name, file or link name, user who uploaded the document, and related project name.

Uploading a new Document version

  1. Click on the Documents tab in the main menu, click the button under and enter a name for your document.

  2. Select the required file and click . (The maximum file size for any document is 5MB.)
  3. Once uploaded, the document will be visible in the Document History table.

Viewing a Document

  1. Click on the Documents tab in the main menu and click the file name or document link under the required document name.

  2. Your web browser should then prompt you to either open or download the document.

Deleting a Document version

  1. Click on the Documents tab in the main menu, locate the required file and click then the button.

  2. Once deleted, the document version will no longer be visible in the Document History table.
  3. Please note, deleting the latest version of a document will delete all versions of the document.

Deleting a Document

  1. Click on the Documents tab in the main menu, locate the required file and click under .

  2. Once deleted, the document and all versions will no longer be visible in the Document History table.
  3. Deleted documents can be recovered or permanently deleted from the Document Recycle Bin.

Renaming a Document

  1. Click on the Documents tab in the main menu, locate the required file and click under .

  2. Enter the new name for the document (max. length is 50 characters) and click save.
  3. Once saved, the document name will now be updated in Document History table.

Usage Summary

  1. To view how much storage you have used, click .

  2. A usage bar will indicate how much space you have used and how much of your allowance is remaining.
  3. Storage usage is comprised of active and deleted documents. If your storage space is running low then you can either empty the recycle bin or purchase additional space. Please contact support for further details.
