My Calendars

 

This is page is used for creating private and shared calendars for use with your email client (e.g. MS Outlook). The following types of Calendar can be created:


» Keep track of specific users' holidays


» View regional non-working days, such as bank holidays


  » Keep track of your project team's holiday.


» See all of the selected project's tasks in your calendar.


» View specific users' task assignments.

Creating Calendars

To create a calendar just follow these easy steps:

  1. Click .
  2. Choose the type of Calendar you would like to create:
    User
    Project
    Holiday
    Choose this type if you want to create a calendar based on the activities of a particular user, for example their holiday or task assignments. Choose this type if you want to create a calendar based on the activities of a project, for example the dates of the tasks or any holiday of that the team that falls within the project dates. Choose this type if you want to create a calendar of holidays booked by particular users or all users.
  3. For User or Holiday types » Choose one or more users.
  4. For Project type » Choose one or more projects.

  5. Provide a unique name for your calendar.
  6. Decide whether you'd like to make the calendar private or if you wish to share it with other users.
  7. Choose at least one set of events you would like to include in your calendar:
    Task Assignments
     Tasks
    User Holiday Company Holiday
    Team Holiday
    Choose this option if you'd like to see the user's task assignments shown in the calendar (these will be shown as all day events). Choose this option if you'd like to see the project's tasks shown in the calendar (these will be shown as all day events). Choosing this option will display the selected user's holiday in the calendar. This option will add regional company holidays in the calendar (such as bank holidays). Choosing this option will display any project team member's holiday that falls within the dates of the project in the calendar.
  8. Click .
 

Viewing and subscribing to Calendars

To view/subscribe to a calendar in Outlook:


  1. Copy calendar link from My Calendars
  2. In Outlook click Calendar
  3. Click Home > in the Manage Calendars group > click Open Calendar > click From Internet
  4. Paste link and click OK

Editing Calendars

It is possible to edit the Calendar Data Sources and Events by following the steps listed below:

  1. Click for the required calendar.
  2. Update the data sources.
  3. Click .

 

  1. Click  for the required calendar.
  2. Update the calendared events.
  3. Click .

Renaming Calendars

To rename a calendar just follow these 3 steps:


  1. Click the button for the required calendar.
  2. Click .
  3. Enter the new name for the calendar and click .

Deleting Calendars

Calendars that are no longer needed can be deleted by:

  1. Clicking the button.
  2. Click and then again to confirm.
