Steps to take before Calendar resourcing:
Tick the box against the Worker
you would like to resource to this task.
Note: This is only applicable if the Worker has not been
assigned to the task already.
Edit the Days field to 0 for all worker assignments. (This is an essential step before using calendar resourcing).
Note: You
may wish to add Generic users
to the project team and use these for your initial resource plans.
This
allows you to forecast costs without allocating exactly who will be needed
to complete the work.
You
can later replace the generic users with actual staff from the project
team.
Note: At
this point the Task Type will remain as Accumulated Work or Non Effort
Driven.
The
Task Start and Finish dates are not relevant as long as the Resource Worker
Days are set to 0.
The
Start and Finish date will update as soon as you start Calendar resourcing.
Go to the Resources sub-menu within Project.
Using the calendar Date picker, set it to the appropriate date from which you wish to start calendar resourcing.
Depending on whether you calendar resource at a Daily, Weekly or Monthly level, set the drop-down selection as appropriate.
Select whether to Sort by Task or Sort by User, this is purely a preference for how you wish to view your calendar resources.
For the member of staff that you wish
to resource, set the Percentage
of the day, week or month you wish to apply the resource at.
(For example Resource at 100% on daily to set the worker to work a
full day, resource at 50% to set the worker to work a half day).
Use
the on screen cursor to click on the days/weeks/months you wish to
assign the resource to work.
Clicking a day turns that block to dark blue to show a resource assignment.
Click on all days you wish to resource the user to.
If you wish to remove a resource assignment, simply click the dark blue block and the assignment will be removed.
Click Save when all updates have been made.
- Resources can receive* email appointments when assigned to tasks which can be added to their mail client calendars (e.g. Outlook). *Users must have the 'Receive Task Resourcing E-mail Alerts' option enabled in their user profile to receive these notifications.
The task Type will have changed to Movable Calendared - see below for further details.
The task Constraint will have updated to Must Start On and become read-only.
The task Start and Finish date will update automatically based on the earliest and latest resource assignment of any user resourced to the task.
The Planned Work will have updated from the Calendar resource assignments and become read-only.
The Resource Details Worker assignments will have updated and become read-only.
By default, when using calendar resourcing it will set the task Type to Moveable Calendared.
This means that even though you have specified exact resource assignments, you can still if desired change the task Start date and the resource assignments will move accordingly.
If you set the task Type to Fixed Calendared, the task Start and Finish date will become read-only, therefore preventing the manual adjustment of the task Start and End dates.
With Fixed Calendared, you can only change the dates by adding or removing resource assignments.
