Reporting Data

Some of the standard reports and all Report Builder reports display cached data (these reports are marked with an * in the Reports list). This greatly reduces the time taken to execute the report, especially when a large volume of data is involved. This cached data is refreshed automatically every night, but there are various options should you wish to refresh this data more frequently. The data refresh may be required, for example, when a project manager has updated their resource plan and needs to see the changes in a resource report immediately.

Refresh Reporting data

This action button refreshes all of the reporting data for every project.

 

  1. Navigate to Admin > Company Settings > Reporting.

  2. Click the Refresh Reporting Data action button.

  3. A message will be displayed advising when the data was last refreshed, and how long it is expected to take to refresh again. In most circumstances the refresh time should be less than 90 seconds.

  4. To refresh the data, click OK.

  5. To cancel the refresh, click Cancel.

Refresh reporting data when saving projects and invoices

When this option is selected, each time an invoice or project is saved, the cache of reporting data will automatically be updated with changes made to the project or invoice . This therefore provides up to the minute information on key data to decision making staff.

 

Note: Selecting this option will increase project save times

Note: To keep the time it takes to save projects to acceptable levels, only data that a project manager updates regularly is refreshed:

 

Data that is refreshed each time a project is saved (when this option is selected):

Data that is refreshed each night or when an administrator manually triggers a full refresh:

 

Reporting Defaults

This section enables you to specify certain default values for standard reports.

 

Reporting defaults are maintained via Admin > Company Settings > Reporting.

 

  1. Against the relevant report, select whether to sort the project filter list by Code or Name.

  2. Select whether to includes projects of a state Open, Closed, or Both.

  3. Select a default Start Date.

  4. Select a default End Date.

 

You can set a 'Work in Progress Target Profit %' for use in the Work in Progress report.
