Project import format

 

The table below shows the import format required for importing projects.

 

An asterisk (*) indicates the field is mandatory.

A

Project Code *

The reference code you are going to use for your project.

 

Type a code for each of your projects.

  • The project code and name will be used throughout the system to identify it.

 

  • Projects contain all your budgeting, stage information and resourcing. For setup we just require the basic details of your projects.

 

  • In reporting filters, which allows you to run a report for specific projects, as well as all.

  • Free text field.

 

  • Do not enter any of the following characters into this field (they could cause reports to crash when you run them for any projects containing them): & < > ' "

B

Project Name *

The name of the project.

 

Type a name for each of your projects.

  • Free text field.

 

  • Do not enter any of the following characters into this field (they could cause reports to crash when you run them for any projects containing them): & < > ' "

 

C

Project State *

The state of the project.

 

Enter either Open or Closed.

  • As a filter on your main list of projects (Projects > List View); you can choose to view only open projects, only closed projects or both.

 

  • In reporting filters wherever a project filter is present, which allows you to run the report for only open projects, only closed projects, or both.

  • Free text field.

D

Project Type *

The type of project i.e. Residential, Commercial.

  • In reporting filters, which allows you to report on a projects of a certain type.

Client *

The client you are running the project for.

 

  • As a filter on your main list of projects (Projects > List View); you can choose to view only projects for a certain client.

  • Free text field. Client must exist in Clients.

Project Status *

The current status of the project.

 

G

Start Date *

The date the project started.

 

Type a start date for each of your projects.

  • As a filter on your main list of projects (Projects > List View); you can choose to view only projects within a particular start date range.

 

H

Project Owner *

The member of staff who is to be the owner of the project.

  • As a filter on your main list of projects (Projects > List View); you can choose to view only projects owned by a certain person.

I

Project Manager

The member of staff who is to be the manager of the project.

 

Select a manager for each of your projects from the drop-down list.

  • As a filter on your main list of projects (Projects > List View); you can choose to view only projects managed by a certain person.

J

Department

The department the project belongs to.

 

Select a department for each of your projects from the drop-down list.

  • In reporting filters, which allows you to report on a particular department's projects e.g. Project Analysis.

  • Free text field. Department must exist in Departments

K

Win Probability *

The % probability that you will win the project.

 

Type a win probability for each of your projects.

  • In reporting i.e. the Opportunity Weighted Forecast report uses the win probability to give you a more accurate forecast of income.

L

Win Date

The date the project win was confirmed.

 

 

M

Security Profile

The security profile assigned to the project.

  • Controls which users can see the project within the Projects menu and specifically which project screens they have access to. See Security profiles for further details.

N

Any User Can Assign *

Controls if all users can log time and expenses to the project or only the specific Project Team members.

  • Timesheet and Expense entry.

  • Enter either True or False

O

Must Log to Task *

Controls if users must log time and expenses to a project task.

  • Timesheet and Expense entry.

 

  • Enter either True or False
